Mariachi Monarcas de Milwaukee (“Mariachi Monarcas,” “we,” “our,” or “us”) operates the Monarcas Quote App. This policy explains how we collect, use, store, and share information through our website and application.

Information We Collect

Depending on how the Monarcas Quote App is used, we may process:

Client names, email addresses, telephone numbers, and communication preferences.
Event information, including dates, times, venues, addresses, ZIP codes, occasion types, requested services, and notes.
Quotes, contracts, deposits, payments, staffing assignments, attendance, and booking history.
Staff account and profile information, including contact information, instruments, roles, availability, compensation, travel information, and payment preferences.
Technical and security information needed to operate and protect the application.

Google and Gmail Information

When an authorized Mariachi Monarcas account connects to Gmail, the application may access:

Email addresses and contact information.
Email subjects, message content, attachments when applicable, timestamps, and conversation identifiers.
Incoming and outgoing booking-related email conversations.
Message delivery and conversation status information.

We use this information to:

Import and organize client booking inquiries.
Display related conversations within the Monarcas Quote App.
Associate conversations with the appropriate client, quote, or event.
Allow authorized administrators to prepare and send replies.
Maintain booking histories and follow-up reminders.
Improve the efficiency and continuity of client communication.

The application will not send an email without an action authorized by Mariachi Monarcas personnel or an enabled automation configured by an authorized administrator.

Artificial Intelligence Features

The Monarcas Quote App may use artificial intelligence to help authorized administrators prepare draft responses, summarize conversations, organize booking information, and identify requests that require manual attention.

When these features are used, relevant message text and event information may be securely transmitted to OpenAI’s API for processing. AI-generated content is treated as a draft and may be reviewed or edited by authorized Mariachi Monarcas personnel before being sent.

We do not sell Google user information or use it for advertising. We do not use Google Workspace data to train a generalized artificial-intelligence model.

How We Use Information

We use collected information to:

Create, calculate, and manage performance quotes.
Communicate with prospective and existing clients.
Manage event logistics, contracts, payments, staffing, and availability.
Send operational notifications to administrators and staff.
Calculate travel, performance, and staffing information.
Maintain business, accounting, security, and booking records.
Improve the reliability and usability of the application.
Prevent fraud, misuse, or unauthorized access.

Service Providers

Information may be processed by service providers necessary to operate the application, including:

Google, for Gmail, authentication, maps, and related services.
Render and its infrastructure providers, for application and database hosting.
OpenAI, for optional AI-assisted drafting and organizational features.
Email, notification, mapping, payment-link, and communication providers selected by Mariachi Monarcas.

These providers may only receive information reasonably necessary to provide their respective services. Their handling of information is also governed by their own privacy and security terms.

We do not sell or rent personal information. We do not share Google user information with advertising platforms, data brokers, or information resellers.

Google API Limited Use

The Monarcas Quote App’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Information Retention

We retain information for as long as reasonably necessary to:

Manage active and historical bookings.
Maintain client and staff records.
Satisfy accounting, contractual, tax, and legal obligations.
Resolve disputes and protect the security of the application.

Users may request deletion of applicable personal information. Some records may be retained when required for legitimate business, contractual, accounting, or legal purposes.

Security

We use reasonable administrative, technical, and organizational measures intended to protect information from unauthorized access, alteration, disclosure, or destruction. However, no internet-based system can guarantee absolute security.

Access to administrative and staff information is restricted to authorized accounts.

Your Choices

An authorized Google user may revoke the application’s Google access at any time through:

Revoking Google access may prevent Gmail synchronization and related communication features from functioning.

The Monarcas Quote App is intended for business administration, clients, and authorized staff. It is not directed toward children under 13, and we do not knowingly collect personal information directly from children under 13 through the application.

Changes to This Policy

We may update this policy as the application, integrations, or legal requirements change. Updates will be posted on this page with a revised effective date.

If we materially change how Google user information is accessed or used, we will update this policy and obtain any additional authorization required by Google.
